Terms of Service

1. Agreement
These Terms of Service govern your access to and use of Paytrol (the “Service”), a payment-approval and internal-controls platform. By creating an organization or using the Service, you agree to these terms on behalf of your organization.
2. The Service
Paytrol records payment requests, routes them through the approval rules your organization configures, and maintains an append-only audit trail of those decisions. Paytrol is software for approving and recording payments.
Paytrol never holds, transmits, or transfers funds. All payments are executed by your own bank, through your own banking channels. Paytrol is not a bank, a payment processor, a money-services business, or a payment institution, and does not provide accounting, tax, audit, or legal advice.
3. Accounts and access
- You are responsible for the accuracy of the organization and user details you provide.
- You are responsible for safeguarding sign-in credentials and for all activity carried out under your users’ accounts.
- You are responsible for configuring approval rules, roles, and thresholds that reflect your organization’s own internal control requirements.
4. Acceptable use
You agree not to use the Service to:
- break any applicable law or regulation;
- upload unlawful, infringing, or malicious content;
- attempt to gain unauthorized access to the Service or to another organization’s data;
- interfere with, disrupt, or place undue load on the Service or its infrastructure.
5. Your data
You retain ownership of the data your organization submits. You may export your data and audit trail at any time. We process your data in accordance with our Privacy Policy, and we do not sell it.
6. Fees, trial, and billing
Paid plans are billed in advance for the applicable period. Free trials are provided for the stated period and require no payment card unless otherwise indicated. Fees are exclusive of taxes unless stated otherwise. Plan pricing may change on notice, effective from your next billing period.
7. Availability
We aim to keep the Service available and to give reasonable notice of planned maintenance. The Service is otherwise provided on an “as available” basis, and we do not warrant uninterrupted or error-free operation.
8. Suspension and termination
You may stop using the Service at any time. We may suspend or terminate access for non-payment or for breach of these terms. Following termination you may export your data for a reasonable period, after which it may be deleted in line with our retention practices.
9. Disclaimers and liability
To the fullest extent permitted by law, the Service is provided without warranties of any kind, express or implied. Paytrol is a control and record-keeping tool: it does not guarantee that any particular payment is correct, authorized, or lawful, and it does not replace your organization’s own internal controls, review, or professional advice. To the fullest extent permitted by law, our aggregate liability arising out of or relating to the Service is limited to the fees you paid for the Service in the twelve months preceding the claim.
10. Changes to these terms
We may update these terms from time to time. Where changes are material we will provide reasonable notice. Continued use of the Service after the changes take effect constitutes acceptance.
